PPSD is currently seeking an Administrative Assistant to support our Medical/Client Services Department. The ideal candidate will provide efficient, high-quality administrative and clerical support to the Medical/ Client Services departments. The Administrative Assistant in based at PPSD's Administrative Office in Concord
, CA
and reports directly to the Medical Services Manager. This is a non-exempt position, working 40 hours per week; Monday – Friday during the business hours of 8:30 AM – 5:00 PM. Salary is DOE.

ESSENTIAL DUTIES AND RESPONSIBILITIES
include the following:
*
Coordinates forms process for affiliate, maintains and updates referral lists biannually and as needed.
*
Assists with updating and formatting protocols, licensing section of admin manual, and Billing manual.
*
Updates and inputs data into monthly clinician schedules.
*
Logs and mails affiliate occurrence reports and all correspondence related to.
*
Assists in the renewal of Department of Public Health licenses, pharmacy and environment permits and distributes to health centers.
*
Assists with audit preparations and provides program support for prenatal program's grants objectives.
*
Provides support to volunteer program and Medical Services administrative staff.
*
Interacts with internal and external customers, partners, and contacts disseminating appropriate information, handling inquiries, and resolving concerns.
*
Analyzes problems, and recommends and executes effective, practical solutions.
Implements processes and procedures to improve efficiency of operations.
*
Types and distributes department agendas, meeting minutes, and other meeting materials as needed as well as sets up medical services meetings
*
Coordinates mail between and among the VP of Medical Services, Medical Services Manager and clinicians/physicians and other centers. Also coordinates mail and peer review charts to/from Medical Director
*
Serves as back-up support for receptionist and other administrative staff, as needed.
*
Organizes and maintains file system, and files correspondence and other records.
*
Orders and maintains supplies, and arranges for equipment maintenance.
*
Coordinates and executes routine, ongoing, long-term, and seasonal administrative tasks and special projects.
*
Runs errands to include picking up food for meetings and picking up or delivering supplies, materials, documents, etc. to health centers or other agencies.
MINIMUM QUALIFICATIONS:
EDUCATION AND EXPERIENCE:
Associate's degree (A. A.) or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.
COMPUTER SKILLS:
To perform this job successfully, an individual should have knowledge and proficiency in database (Access), contact management (Outlook), design (PowerPoint), Internet, spreadsheet (Excel), word processing (Word) and Adobe PageMaker (graphics) software.
CERTIFICATES, LICENSES, REGISTRATIONS:
Must have reliable automobile transportation, a valid California Driver's License and automobile insurance.
OTHER SKILLS, ABILITIES AND QUALIFICATIONS
*
Acceptance and application of the confidential nature of the position.
*
Strong communication (verbal and written), spelling, grammar and punctuation skills.
*
Type professionally and accurately at 60 wpm.
*
Familiarity with standard office equipment and machines (fax machine, copy machine, postage machine, etc.)
*
Ability to relate professionally and sensitively to staff, board, clients and public.
*
Commitment to quality health care.
