The Administrative Assistant position will support the establishment and ongoing operations of the Americas Regional Hub for Shared Business Services in Charlotte NC. This position provides direct support for the center director in addition to front line managers and their respective teams across several functions.
As such the successful candidate will have the ability to work well in a team environment and effectively handle multiple tasks. This position requires a highly organized individual with attention to detail accuracy and the ability to anticipate what needs to be done and to proactively take action. The successful candidate will also have experience navigating a large formal global corporation while balancing a local small office culture.
Essential functions of the position include but are not limited to:
Organize meetings including catering room reservations and AV requirements
Manage calendars schedules and coordinating travel plans
Create and monitor purchase orders
Manage expense reports through expense software and invoice processing
Provide secondary coverage for lobby receptionist as needed
Scan index and document management of compliance documentation across functions
Collect extract and analyze data formatting information into tables graphs and presentations
Coordinate special projects across functions as needed.
Required:
High School diploma or GED required. Proficiency in Windows based PC environment utilizing Microsoft Office suite. Two to five years of relevant experience in an administrative role. Outstanding verbal and written communications skills.
Preferred:
Associates or Bachelors degree preferred. Experience supporting a global operation spanning multiple time zones.
